How Many Hours of Wedding Transportation Do You Need?

A four-hour example: wedding party to reception

Illustrative block: 2 PM–6 PM. Collect the wedding party at the getting-ready address, travel to the ceremony, reserve time through the ceremony and photos, then reach the reception. This example ends at reception arrival. It does not include a late send-off or a guest return after dinner. Confirm actual drive times, the photo locations and when the group can board with the planner before deciding four hours is enough.

A six-hour example: more time between venues

Illustrative block: 2 PM–8 PM. Include the getting-ready pickup, ceremony, a separate photo location and reception transfer, with the vehicle reserved for gaps in the afternoon. The extra two hours can allow a wider schedule, but they do not establish a fixed amount of travel that every route will fit. If the final hotel return is at 11 PM, it falls outside this example and needs its own arrangement.

An eight-hour example: several guest movements

Illustrative block: noon–8 PM. Request hotel-to-ceremony movements, wedding-party photos, reception arrivals and an early return within the reserved window. Give the number of riders on each loop and whether simultaneous departures are required. Eight hours describes reserved time for a quoted vehicle arrangement; it does not promise unlimited shuttle capacity. A later reception finish or several hotels may require additional hours or vehicles.

Count the hours from the same start and finish

Write down when the vehicle must first be available and when its last passenger is dropped off. Ask dispatch whether positioning time or another charge applies to the itinerary. Include time for boarding, luggage and any requested assistance. A car held during the ceremony or reception remains reserved, even if passengers are not riding. Changes to stops and the finish can change the final amount.

A ceremony transfer and a late-night send-off do not have to use one continuous booking, but separate movements need their own confirmed availability and price. Decide which guests need a return and when. Keep a planner or responsible contact reachable, and ask how a schedule change would be handled. Dispatch reviews requests from 6 AM to 10 PM Central Time; confirm overnight rides before closing.
